But here’s the thing: while client retention is great for business, it’s even better for clients. Why? Because the research on change in psychotherapy indicates that clients start to experience a significant reduction in symptoms and meaningful shifts in old patterns after a minimum of 8 sessions. That’s why client retention is, at its heart, a client-centred process.

Most conversations about client retention focus on the importance of booking sessions in advance. And while that’s important, booking is actually the end result of a sequence of relational and client-centred interactions that make the client actually excited to book more sessions.

I’m not usually the first consultant group practice owners have worked with. My clients usually arrive at me after they’ve had some early support setting up their systems, hiring, and getting started. I tend to see people when they’re set up…but not quite reaping the benefits of group practice ownership.

Most of my clients engage my consulting services engage on an ongoing basis — monthly when things are steady, every couple of weeks when there’s a specific problem to work through or a shift they’re trying to make. Once they see continuously reliable results, my clients usually contact me on an as-needed basis. Much like therapy, my greatest accomplishment is when my clients no longer need me.

Team Training

Sometimes a program isn’t enough — you want your team in the room (or on a screen) together, working through the material, asking questions, and leaving with a shared framework they can hold each other to.

Team training sessions are tailored to your clinic’s specific context — your team size, your current retention challenges, and where your therapists are in their clinical development. Format is flexible: a half-day workshop, a full-day intensive, or an ongoing series of shorter sessions. In-person or virtual.

Every session is grounded in the same principle as the Client Retention System: retention is a training issue, not a talent issue. Your team leaves with practical tools, a shared language, and a clear next step.

Common questions…

  • The math maths. Think about it: if a therapist retains one additional client per month who continues for four to six more sessions, the program pays for itself within the first month. Similarly, if a therapist applies these strategies and increases their average number of visits per client even incrementally, the increase in revenue blows this investment out of the water.

  • Fair question. Most online programs fail for the same reason: they’re too long, too abstract, and too easy to deprioritize when things get busy. The Client Retention System was built with that in mind.

    The modules are short and focused. The tools — scripts, templates, worksheets — are designed to be used in the next session, not filed away for later. And the content is clinically grounded, which means therapists find it credible rather than salesy. In my experience, therapists engage with training when it feels relevant to their actual work and provides them with an immediate win. This program delivers on both fronts.

    That said — no program works without accountability. Which brings us to the next question.

  • Accountability is everything, and it has to come from you as the clinic owner. A few things that work well: build completion into your onboarding process so it’s an expectation from day one, use your quarterly check-ins to discuss what therapists are applying and where they’re getting stuck, and consider making completion a condition of certain privileges or opportunities within the clinic. In my clinic, I sent each therapist a small gift card when they sent me a screenshot of their completion certificate. It’s amazing how a tiny incentive can motivate people!
