The Client Retention System

Client Retention…but make it relational.

I’m the first to admit: the term “client retention” sounds kind of corporate and salesy.

But here’s the thing: while client retention is great for business, it’s even better for clients. Why? Because the research on change in psychotherapy indicates that clients start to experience a significant reduction in symptoms and meaningful shifts in old patterns after a minimum of 8 sessions. That’s why client retention is, at its heart, a client-centred process.

Most conversations about client retention focus on the importance of booking sessions in advance. And while that’s important, booking is actually the end result of a sequence of relational and client-centred interactions that make the client actually excited to book more sessions.

This program covers the full client journey — from the first consultation call through to preventing premature dropout. Eighteen video modules, practical worksheets, scripts, and templates your team can implement immediately.

What’s inside:

  • A full retention roadmap from consultation call to session five and beyond

  • Talking points and scripts for the booking conversation, first sessions, and treatment planning

  • Tools for identifying and addressing retention leaks in each clinician’s caseload

  • Role plays, worksheets, and follow-up email templates ready to use immediately

Who it’s for:

  • Group practice owners who notice their therapists are leaking clients, but can’t seem to get through to them on how to stop it

  • Individual therapists who are skilled and caring, but see client retention as pushy and too business-centred

  • Group practice owners who would like to improve client average number of visits so they can get more out of their marketing spend, or decrease it

  • Practice owners and therapists who want a relational approach to client retention

“Elana’s Client Retention program has helped the therapists on my team have productive conversations that have led to positive outcomes. Her videos and templates provide client-centred language that support clinician discussions with clients around the treatment course.”

1:1 Consulting

For clinic owners who want a precisely tailored strategy for their practice.

Retention. Hiring. Financial sustainability. Leadership. Staying visible in a highly saturated industry. Group practice ownership involves particular challenges. And let’s not talk about those razor thin profit margins (actually…let’s).

I’m usually not the first business coach group practice owners have worked with. My clients usually arrive at me after they’ve had some early support setting up their systems, hiring, and getting started. I tend to see people when they’re set up…but not quite reaping the benefits of group practice ownership.

Most of my clients engage my consulting services engage on an ongoing basis — monthly when things are steady, every couple of weeks when there’s a specific problem to work through or a shift they’re trying to make. Once they see continuously reliable results, my clients usually contact me on an as-needed basis. Much like therapy, my greatest accomplishment is when my clients no longer need me.

When there’s a problem to solve, we’ll look at the full picture: systems, structure, procedures, team dynamics, financial realities, and mindset. If you’re not already tracking your performance and money metrics, this will be one of our first orders of business!

Most people arrive feeling discouraged, frustrated, or lost in the weeds. My clients often have the ingredients of a successful group practice, but are finding that some business things feel clunky and anxiety provoking. The first priority is always to find where we can make the most immediate difference, so that you leave with clarity, a sense of possibility, and a concrete plan for moving forward.

Who this is for:

  • Group practice owners navigating a specific challenge — retention, growth, team performance, or leadership

  • Owners who want strategic thinking, not just checklists and boilerplate advice

  • Group practice owners who have set up their systems and hired their team, but still aren’t making enough money

  • Group practice owners who need an expert eye to assess their practice for optimization and growth opportunities

Team Training

Sometimes a program isn’t enough — you want your team in the room (or on a screen) together, working through the material, asking questions, and leaving with a shared framework they can hold each other to.

Team training sessions are tailored to your clinic’s specific context — your team size, your current retention challenges, and where your therapists are in their clinical development. Format is flexible: a half-day workshop, a full-day intensive, or an ongoing series of shorter sessions. In-person or virtual.

Every session is grounded in the same principle as the Client Retention System: retention is a training issue, not a talent issue. Your team leaves with practical tools, a shared language, and a clear next step.

Who it’s for:

  • Group practice owners who want their team to be inspired and excited to implement client retention strategies

  • Clinics going through rapid growth or onboarding a cohort of new therapists

  • Practice owners who want to complement the Client Retention System with live coaching and Q&A

Bring the retention conversation to your clinic, live.

“Elana has a particular knack for zoning in on key performance and client retention issues. Being a relational therapist, she knows the importance of maintaining attunement, repairing ruptures, and following up with clients without being intrusive.”
